Privacy Policy
1. Who we are
This website (“CPI Scholarships”) is operated by Community Partners International (“CPI”) and provides scholarship information and an online scholarship application portal for individuals working to support health, sustainable development, and emergency response in Myanmar.
2. What information we collect
We collect information in three main ways: (a) when you create an account or log in, (b) when you complete a scholarship application, and (c) when you contact us.
A. Account and login information
- Name, email address, username, and password (stored in hashed/encrypted form where applicable)
- Login/session information used to keep you signed in
B. Scholarship application information
Depending on the scholarship/program you apply for, you may provide:
- Personal details and contact information
- Educational background, work experience, language proficiency
- Essays and a research plan/overview
- Uploaded documents (for example: CV, degree certificates/transcripts, passport, English test results, reference letters, bank statements, and additional supporting documents)
C. “Save progress” / resume link
If you use the “save progress” feature, the site can create a unique resume link and may email that link to you. The site warns that, for security reasons, some sensitive fields (such as email addresses, phone numbers, and uploaded files) may need to be re-entered when resuming.
The resume link is intended to be private and can expire after 30 days; after expiration, the saved form entry may be deleted.
D. Contact form information
- Name, email address, and message content you submit via the contact form
E. Technical and usage data
- IP address, browser/device type, approximate location (derived from IP), and interaction data (e.g., pages visited) for security, troubleshooting, and site improvement.
3. How we use your information
We use your information to:
- Provide the site and account features (login, application portal)
- Process and review scholarship applications and supporting documents
- Communicate with you about your account, application status, and administrative matters
- Respond to inquiries submitted through the contact form
- Improve the website, application experience, and security measures
- Comply with legal and regulatory obligations
4. Legal bases for processing (where applicable)
Depending on your location, we rely on one or more of these bases:
- Consent (e.g., you choose to submit an application or inquiry)
- Contract/steps before contract (to provide requested services like account access and application processing)
- Legitimate interests (site security, fraud prevention, improving services)
- Legal obligation (recordkeeping, compliance)
5. How we share your information
We do not sell your personal information.
We may share limited information:
- With scholarship partners or reviewers involved in evaluating applications (for example, relevant CPI staff and review committee members)
- With service providers who help run the website (hosting, email delivery, security, analytics), under contractual confidentiality and security obligations
- If required by law (e.g., to comply with lawful requests or protect rights, safety, and integrity)
6. International data transfers
CPI is based in the United States, and applicants may be located in other countries. Your information may be processed or stored in the U.S. or other locations where CPI or its service providers operate. We take reasonable steps to protect your information in line with this policy.
7. Data retention
We keep personal data only as long as necessary for:
- Application review, selection, scholarship administration, and reporting requirements
- Security, dispute resolution, and legal compliance
Where the “save progress” feature is used, the resume link can expire after 30 days, and the saved entry may be deleted thereafter. We may retain final submitted applications longer than saved-in-progress entries, if needed for legitimate program and compliance reasons.
8. Security
We use reasonable administrative, technical, and organizational safeguards to protect your data. However, no system is 100% secure. Please avoid sending sensitive information through channels you do not trust, and keep your login credentials confidential.
9. Your rights and choices
Depending on your location, you may have rights to:
- Access, correct, or update your personal data
- Request deletion of your data (subject to legal/program constraints)
- Object to or restrict certain processing
- Withdraw consent where we rely on consent
10. Cookies and tracking
We use cookies and similar technologies to operate the site and improve your experience. See our Cookie Policy.
11. Third-party links
The site may link to third-party websites (for example, university program pages). We are not responsible for their privacy practices.
12. Changes to this policy
We may update this policy from time to time. We will post the revised version on this page with an updated effective date.
